Creating clients and assigning domains
Under Clients you create a client with name (unique per organization), reference number, contact email and notes (up to 5,000 characters). You assign domains when adding them, during import for the whole list or later in the settings of the domain; a domain belongs to at most one client. The domain list, events and incidents can be filtered by client, and the client name links straight to their domains.
Archived clients disappear from the list, their domains keep running; archiving switches off the status page and stops report delivery. Deleting removes the client with client access, invitations and maintenance windows; the domains remain without a client. Owners, admins and members may create, edit and delete.
Client access, read-only
Client access is a login with the role "Client", bound to one client. The end client sees only their own domains, monitors, incidents, events, DNS snapshots and the maintenance windows affecting their domains; every other table returns nothing to them. They see neither notes (on domain and client), nor plan, channels, members, suggestions or who acknowledged an incident, and they cannot change anything: no domains, no triggering checks, no acknowledging.
- Settings → Members → Invite, role "Client access", choose the client (owners and admins).
- The invitation goes by email, is valid for seven days and bound to the address; the client signs up with this address or signs in and accepts the invitation. Afterwards they sign in like any user, with two-factor or a passkey if they wish.
- Revoke: remove the member or withdraw the open invitation. Client access cannot be turned into a team member; invite again for that.
Client access does not count towards the member limit of the plan; the number is unlimited. They receive no organization mails, no push notifications and no access to the API. The client can use the CSV export of their domain list.
Public status page
A status page can be enabled per client (edit client → "Public status page", owners, admins and members). The address /status/{client}/{token} lives on the website, needs no login and shows in the language of the report (or the organization): overall state, per active domain the state, the last check, the availability of the last 30 days, the website status, the remaining days of the certificate and open incidents with type, severity and start. Finding texts, addresses and configuration are deliberately absent; a paused domain appears as "maintenance".
- The link contains a token. Toggling again creates a new token and invalidates the old link; switching off or archiving the client revokes it entirely. Both are recorded in the audit log.
- The page is excluded from indexing, refreshes every 60 seconds and responds with "not available" once the link has been revoked.
- The footer names DomainWarn; white-label applies to reports, not to the status page.
Monthly PDF report
For every client there is a report per calendar month in the time zone of the organization: summary (domains by state, availability in percent and minutes of downtime, incidents, changes, expiring certificates and domains), domains at a glance (state, uptime, latency p50/p95, certificate valid until, domain expiry, registrar), expiring certificates (30 days) and domains (60 days), incidents of the period with duration and up to 200 detected changes excluding those from maintenance windows.
- Retrieval: client list → Monthly report → choose the month (the last twelve) → "Open report (PDF)". The link is signed, works without login and is valid for 60 days; it can be copied and sent to the client.
- Automatic delivery: enable "Send monthly report by email automatically" on the client and store a contact email. The report of the previous month goes in the first days of the month as a PDF attachment with link to this address, in the language of the client (German, English or as the organization). Clients without domains and archived clients are skipped.
- According to the plan, monthly reports are included from Agency upwards.
White-label: reports in your own design
On the Agency Pro plan (and during the trial) you design reports under Settings → Organization → "Reports in your own design": logo (PNG, JPEG or SVG up to 300 KB), accent colour, display name and the option to hide the "with DomainWarn" note. The logo replaces the DomainWarn wordmark in the PDF, the report mail carries your name as sender, your logo and your colour; the sender address stays DomainWarn's so that SPF and DKIM hold. After a plan change the settings stay stored but only take effect again with the matching plan. Alert mails, invitations, dashboard and status page keep the DomainWarn design.

Notes
Notes exist per client and per domain (domain settings, up to 5,000 characters, plain text): contact at the hosting provider, accounts without passwords, peculiarities. The domain overview shows both notes side by side. They are visible only to the team, never to client access, and part of the organization data export.
Frequently asked questions
- Does the client need their own DomainWarn account?
- For client access yes: they sign up with the invited address or sign in with it. For the status page and the monthly report no, both work via link without login.
- Can a client have several client accesses?
- Yes, any number of people can be invited for the same client; none of them counts towards the member limit.
- Does the client see who handled an incident?
- No. They see incidents with type, severity, start and end, but not who acknowledged, and no notes.
- Can I review the report before it is sent?
- Yes, the report of the current and past months can be opened as PDF at any time. Automatic delivery sends the completed previous month.
